Where will the Forum be held?

The Forum will take place on the 15 and 16 April 2026 at the Radisson Hotel Astana, Sary Arka Avenue 4, Astana 010000, Republic of Kazakhstan.

Can you recommend a hotel?

We recommend the Radisson Hotel Astana, which is the venue for the Forum. Alternatively, the Park Inn hotel is just a 5-minute walk from the Forum location. Please use the provided discount booking forms for your accommodation. More information.

Do you provide hospitality services?

REGISTRATION AND PAYMENT:

How can I register to attend the Forum?

Pre-registration is required to attend the Forum as delegate. For terms and registration please follow this link.

Is there a fee to attend the Forum?

Yes, pre-registration and payment are required to attend. Be sure to check for early bird registration discounts.

Is there a fee to visit the exhibition?

No, entry to the exhibition is free. However, pre-registration is required to access the Forum’s web application and be eligible for prize draws.  Exhibition visitor pre-registration will open around 24 March. Please contact us to receive the invitation.

 

What payment methods are accepted?

You can pay via bank transfer in US Dollars, British Pounds, Euros, or Kazakhstani Tenge, or by credit card (Visa, MasterCard, American Express, China UnionPay (CUP), Discover & Diners Club, Australia, and Japan Credit Bureau (JCB)). Credit card payments are processed through the Stripe platform.

Can I purchase a ticket to the Gala Dinner separately?

No, tickets for the Gala Dinner can only be purchased as part of a Forum delegate or exhibitor packages.

Can you provide an official invitation letter to attend the Forum?

Yes, please complete this form with your information and details about your organisation.

Can I visit the Forum free of charge?

Unfortunately, this option isn’t available. However, you are welcome to attend the free Pitch Tracks sessions organised at the exhibition area.

Do you provide media accreditation?

Yes. Limited passes are available to journalists and editors of the national and international media. Apply for media accreditation here.

Do you provide remote participation option?

The Forum is an in-person event only. However, access to the Forum materials will be available for purchase after the event.

ACCESSIBILITY AND PARTICIPATION:

Do you provide simultaneous translation?

Yes, registered delegates will have access to simultaneous translation during Forum sessions.

 

Will I have access to the list of attendees?

Yes, registered participants (excluding exhibition-only visitors) will receive access to our Forum web application prior to the event. This app allows you to view participant profiles, exchange digital business cards, schedule 1-on-1 meetings, and more. Exhibition visitors will have a limited app view with exhibitor information and schedule of the open events.

 

How do I inform you of my dietary preferences or allergies?

Please provide detailed information about your dietary preferences or allergies in the comments field when registering for the Forum. To ensure your needs can be met, please note that the venue requires 3-5 business days’ notice.

 

Is the venue accessible for wheelchair users?

Yes, the venue is wheelchair accessible. Please let us know your accessibility requirements when confirming Forum participation or registering for exhibition access.

Is smoking permitted at the venue?

Smoking is limited to designated smoking areas outside the hotel and the cigar bar. Smoking is not allowed in other locations on the premises.

 

EVENT MATERIALS:

Will presentations and other materials be available after the Forum?

Registered Forum participants (excluding exhibition visitors) will have access to presentation slides, video recordings of keynotes and Pitch-Up sessions, and photos. These materials will be available approximately two to three weeks after the Forum concludes.

  • Do Not Consign to the Hotel: You must not address shipments directly to yourself at the hotel unless they are already customs-cleared and duties are paid.
  • Avoid Standard Couriers (DHL, FedEx, UPS): Commercial couriers require a local Kazakh entity with a Business Identification Number (BIN) to pay duties and taxes. If you ship directly to the hotel via courier, your goods will likely be detained at Astana Airport customs indefinitely.
  • Solution: Engage a specialist exhibition freight forwarder who offers DDP (Delivered Duty Paid) services. They will use their own local agent to act as the importer, clear customs, and deliver to the venue on the set-up day.

  1. Customs DocumentationShipping to Kazakhstan requires strict documentation to avoid permanent import duties.
  • ATA Carnet: This is the most efficient way to import professional equipment and display materials duty-free on a temporary basis.
  • Documentation: Ensure you have a comprehensive commercial invoice, a verified certificate of origin, and a precise export declaration if shipping from outside the Eurasian Economic Union (EAEU).
  • New Tax Code: Be aware that a new Kazakhstani tax code goes into effect on 1 January 2026, which may influence logistics costs or processing.

To ensure smooth entry, separate your shipment into two distinct categories with separate Commercial Invoices and Packing Lists:

Category A: Temporary Import (Returning Goods)

  • Items: Display stands, demo units, heavy equipment models, laptops.
  • Regime: These enter under a Temporary Import bond or ATA Carnet (if applicable). They must be re-exported after the event.
  • Constraint: You cannot sell or give away these items. They must leave Kazakhstan exactly as they entered.

Category B: Permanent Import (Consumables)

  • Items: Brochures, giveaways (pens, notebooks), chocolates, disposable booth supplies.
  • Regime: Permanent Import (Consumption).
  • Cost: Subject to Import Duty + 12% VAT immediately upon entry.
  • Constraint: Do not list these on an ATA Carnet.
  1. Venue & Storage Specifics

Handling at Radisson Hotel Astana

  • Access: The venue is a hotel, not an industrial exhibition centre. There are no forklifts or heavy lifting capabilities on the loading dock. Ensure crates are manageable by hand or pallet jack.
  • Storage: The hotel will provide overnight storage for exhibition materials. However, this is typically limited to the event days. Do not ship cargo to arrive days in advance without prior confirmation from your logistics provider, as the hotel may reject early deliveries.
  1. Recommended Timeline (April 2026)

Plan your shipping schedule backward from the Set-up Date: 14 April 2026.

  • Road Freight (from Europe): Depart by early March 2026.
    • Reason: The “Middle Corridor” route (via Caspian Sea ferry) is weather-dependent and can take 25–35 days.
  • Air Freight: Arrive at Astana (NQZ) Airport by 30 March – 1 April 2026.
    • Reason: Customs clearance in Kazakhstan requires a minimum of 5–7 working days, plus mandatory digital “virtual warehouse” processing before goods can be released.

 Set-up Date: Ensure goods arrive at the venue by 14 April 2026 for the organized setup session.

  • Shipping Labelling: Clearly mark all crates with the event name (“MINEX Kazakhstan 2026”), the venue (“Radisson Hotel Astana”), your company name, and assigned booth number to ensure the hotel identifies them correctly for the overnight storage period.
  • Lead Times: For road or sea/rail freight to Astana, start the shipping process at least 6–8 weeks in advance to allow for customs clearance and inland transit.

  • Mandatory Insurance: As the organizers explicitly disclaim liability for loss or damage, you must secure “all-risks” transit and exhibition insurance covering the period from departure until the goods return to your warehouse.
  • On-site Security: While the hotel provides overnight storage, exhibitors are generally responsible for securing valuable portable items (laptops, prototypes) during the live days of the forum.

  • Organiser Liability: The event organisers do not carry responsibility for customs clearance, loss, or damage of goods and materials. All insurance and liability for the cargo remain with the exhibitor.
  • Hand-Carrying Goods: It is strictly advised against hand-carrying commercial quantities of goods (e.g., boxes of brochures) in passenger luggage. Astana Airport customs scan all incoming baggage; undeclared commercial goods may be confiscated.
