Participation Terms and Conditions
Registration Process
To participate in the MINEX Forum, individuals must complete the registration process. Once your booking form has been submitted, a confirmation of your booking and an invoice will be sent to the email address provided within two working days.
Participation is only confirmed once the registration has been accepted in writing by the organisers, based on the submission of an application and, where required, the execution of a contract.
Please ensure you check your spam or junk folder for the automatic reply. If confirmation is not received within the stated period, contact the administration team at admin@minexforum.com for assistance.
Payment of Fees
Participation fees can be settled via debit or credit card using Stripe, or through a bank transfer. It is essential that payment is made in full no later than 48 hours before the Forum commences. The organisers reserve the right to refuse entry to any participant who has not paid the required fee prior to the event.
Admission Policy
Only participants who have completed payment will be admitted to the Forum. The organisers retain the discretion to deny entry to delegates who have not fulfilled their payment obligations.
Delegate Substitution and Cancellation
Delegate substitutions are permitted at any time. Should you need to cancel your participation, submit your cancellation in writing to admin@minexforum.com at least 10 calendar days before the event. Cancellations received within this timeframe will incur a 15% administration fee. No refunds will be issued for cancellations made less than 10 calendar days prior to the event. However, at the organisers’ discretion, a credit note may be issued for late cancellations.
Pricing and Discounts
All prices and terms are correct at the time of announcement. The organisers reserve the right to alter prices at any time, but any changes will not affect confirmed registrations. Discounts are only available at the time of registration and cannot be combined. Group discounts apply strictly to the specified number of delegates.
Cancellation Policy
Participants may cancel their registration by emailing admin@minexforum.com with “Cancellation” in the subject line. Cancellations submitted 10 or more days before the event are subject to a 15% administrative fee. Cancellations made fewer than 10 days before the event are non-refundable and the full fee is due. In certain cases, a credit for future events may be provided at the organisers’ discretion for late cancellations.
Transfer of Registration
Registrations are personal and cannot be transferred without prior written consent from the organisers. The organisers reserve the right to deny or remove any participant at their sole discretion, particularly if terms are breached or if the individual poses a security risk or disruption.
Advertising Artwork Amendments
Requests to replace advertising artwork must be made no later than five working days before the Forum.
Event Modifications and Cancellations
The organisers may amend the event’s format, speakers, content, or location. If the event date is changed or the event is cancelled by the organisers, participants will be offered an alternative event or a refund of the fee paid.
Force Majeure
In circumstances of force majeure, the organisers reserve the right to alter the event date or location. Fees will be applied to the rescheduled event, and no claims for compensation will be entertained. The organisers are not liable for any loss, delay, or damage resulting from event cancellation or changes, to the fullest extent permitted by law.
Limitation of Liability
To the extent permitted by law, the organisers disclaim all liability for any loss, injury, or damage to persons or property at the event. All indemnities, warranties, representations, and conditions (express or implied) are excluded. The organisers are not liable for any direct or indirect loss, including but not limited to lost profits, anticipated savings, revenue, business opportunities, goodwill, or similar losses. The organisers’ total liability is limited to the amount of fees paid by the participant.
Recording Prohibition
Unauthorised video recording or transmission of any event material is strictly prohibited.
Privacy Policy
Personal information provided during registration will be stored in a database. For further information regarding data usage, refer to the MINEX Forum Privacy Policy.
Jurisdiction
These terms and conditions are governed by English law. Any disputes will be resolved under English jurisdiction. Only the participant and MINEX Forum have the right to enforce these terms, as outlined in the Contracts (Rights of Third Parties) Act 1999, subject to prior written consent.
Acceptance of Terms
By attending the MINEX Forum, participants acknowledge and agree to the above terms and conditions.
